The last article that I wrote was about the Microsoft Office 365 terminology change from “Preservation” to “Retention” in regard to how your data is held – or not – within Exchange, SharePoint and OneDrive.

But when you want to hold your Microsoft Teams data with a retention policy, that policy must be exclusive to Teams – no other service can be part of that policy.

Teams holds its chats, conversations and emails forever by default, but your company might have another inclination to delete data, save it for 7-10 years, or both for whatever reason. Policies can be created and applied in a granular fashion.

Microsoft  unveiled  its new Teams Retention policies at the end of March 2018 and rolled them out to tenants over the month of April. This is evidently part of the move to bring Skype functionality into the Teams fold.

The next step on the roadmap for Teams data management is eDiscovery.

What used to be called a Preservation Policy is now called a Retention Policy. That said, you might still see a folder in your OneDrive’s storage metrics* that’s called Preservation Hold Library, although the folder isn’t visible unless you’ve actually edited or deleted items that are affected under such a policy.

Your ‘permanently deleted’ mailbox items are held in the Recoverable Items folder, which is accessible from the Outlook Web App (OWA). Right-click on the Deleted Items folder and choose “Recover deleted items…” These are items that you’ve removed from the Deleted Items folder and will remain in the Recoverable Items folder for 14 days unless otherwise configured to 30 days by your system administrator OR unless there’s a Retention Policy in place that prevents anything from getting really, actually, truly, permanently deleted.

A caveat here: Retention policies applied to mailboxes require Office 365 Enterprise E3 or E5. This is because Exchange Online Plan 2 must be in place for mailbox retention. So if you have Office 365 Business Premium with its lesser Exchange Online Plan 1, then you can set a Retention Policy that covers your documents stored in SharePoint or OneDrive, but not on mail, calendar or contact items. Actually, you might be able to create such a policy that would seem to cover your Exchange items, but this data governance would not take effect until a qualified license would be put in place.

Here’s what it looks like when your company has their computer network properly set up for the modern workplace.

  1. Email, Contacts, Calendars, Files, Phones are all in the Microsoft cloud:
  • Outlook Email, Contacts and Calendar items are never lost and always available, no matter what type of Internet-connected device
  • OneDrive and SharePoint files are accessible and secure using Delve to find them
  • As Skype transitions entirely into the Teams space, your computer and headset become a phone, as well as the Teams mobile app (you can still connect your desktop IP phone to the Microsoft cloud-based IP PBX (Phone System)

2. Each user has a laptop with a built-in video camera (think Microsoft Teams calls and meetings):

  • Whether connected to WiFi in the corporate office or WiFi in the home office, you can attend company meetings from your chosen comfort zone
  • Collaborate and co-author OneDrive or SharePoint documents in real time with team members or external guests
  • Make phone calls and meet one-on-one with colleagues

3. Security is authenticated via the web with Azure AD and the Microsoft Graph:

  • Gone are the days of a hard perimeter at the office – venture into the world and still remain connected to company data without fear of loss or intrusion

4. You have absolute ownership of your data:

  • Not even Microsoft has access unless express permission granted
  • Option to extract data and take it with you even after your contract ends
  • Always encrypted data at rest and while in motion

5. Your devices are all compliant, connected, monitored and administered with Microsoft Intune as part of Enterprise Mobility + Security (EMS):

  • Intune helps you manage and secure devices, applications, and data
  • Azure AD Premium helps you provide employees with secure access and single sign-on to thousands of SaaS apps and almost all on-premises web apps
  • Azure Information Protection helps you keep email, documents, and sensitive data protected and secure anywhere, even when shared outside your organization

What you will NOT have in this perfect world:

  • Mapped Drives
  • VPN’s
  • On-premise Servers
  • Thumb Drives
  • Costly Network Upgrades
  • Unwanted Down Time

As an IT pro, you might think that I’m going to talk about cables and switches and routers. But instead, my topic is about people and relationships.

 

An old TV show and an old volume of short stories come to mind: “Connections” and “Six Degrees of Separation”.

 

  • “Connections” was a UK-based TV series/documentary created and hosted by James Burke. First aired in the late ’70s, the show “demonstrated how various discoveries, scientific achievements, and historical world events were built from one another successively in an interconnected way to bring about particular aspects of modern technology.” – Wikipedia

 

  • “Six Degrees of Separation” was a concept from a 1929 author who believed that the modern world was ‘shrinking’ due to the ever-increasing connectedness of human beings. Karinthy believed that “the growing density of human networks made the actual social distance far smaller”.

 

During the process of accepting Joe’s invitation to this group, I mistakenly assumed that this was an international collection of business people. However, I have perused the member list and now recognize many memberships to be local in nature, yet it is evident that many of you have a global reach. I experienced an immediate 360-degree evolution from my home office in Clearwater to the realms of the web and then back down to earth at Joe’s training center in Largo.

 

The common thread among us is the technology. By the phenomenal development of this thing that we now take for granted – the Internet – we have come together like no other time in history. And it is by this common thread that we conduct business, no matter the geographic limitation. And yet, by this same common thread, we also form a bond with our neighbor.

 

What matters most in our own connectivity is the relationship. In spite of distance, we can still develop trust, confidence and reliance on a person or firm from afar. The fabric that weaves our interrelations is made of communication, exchange and alliance.

In both the Android and the iOS versions of the mobile OneDrive app, you can scan a document, business card or whiteboard and then save it directly to OneDrive. Seconds later, the new scan appears synced within Finder on MacOS or within File Explorer on a Windows system.

You can also opt not to scan, but to take a photo or video and have their respective images saved directly to OneDrive.

OneDrive is part of your Office 365 subscription, so you can download and install it from either the Google Play Store or the Apple App Store.
